Co-Managed IT

We augment your team. We don't replace them.

If you have an internal IT person or small team, you don't need to outsource everything, but you need a safety net. Co-managed IT gives your team backup on nights, weekends, security, projects, and strategic work without stepping on their toes.

What We Augment

The things your internal IT can't cover alone.

One internal IT person can't work 24/7, be an expert in every technology, and find time for strategic planning. That's where we come in.

24/7 Monitoring & Alerting

Your in-house IT person can't be on-call at 2am on April 14th. We can. Continuous monitoring with real human response when alerts fire, even off-hours.

Security Stack & MDR

Deploy and manage our full security stack (Duo, Keeper, Bitdefender, Huntress, ThreatLocker, Blackpoint) so your internal team doesn't have to learn and maintain six different products.

Helpdesk Overflow

When your internal tech is slammed, we're the overflow. Tickets flow into our queue during busy times and flow back to them during quiet times so your users keep getting fast answers.

Strategic vCIO

Quarterly strategic reviews with your leadership team. Technology roadmap, budget planning, vendor rationalization: the strategic work most internal teams don't have time for.

Project Overflow

Server replacements, M365 migrations, office moves: projects that would take your internal team away from daily support. We handle the heavy lifts so your team stays focused.

Compliance Documentation

WISP, FTC Safeguards documentation, annual risk assessments. Heavy administrative work that supports your compliance posture without burning out your internal team.

Specialized Expertise on Demand

Need an Azure expert for a week? A security incident responder right now? A vCIO for a board meeting? You get access to our full team without hiring specialists.

Vacation & Coverage

Your internal IT person needs to take a vacation. Or they leave and you need transition help. Or they're out sick during the worst week of tax season. We're the safety net.

Who It's For

Mid-sized firms with internal IT who need specialists.

Co-managed IT typically fits CPA firms with 30-150 employees who have one internal IT person (or a tiny team) handling the day-to-day. Your internal IT knows your firm, your people, and your software, but nobody expects them to also be a security expert, network engineer, vCIO, and 24/7 helpdesk. That's where we come in.

This is probably a fit if:

  • • Your internal IT person is burning out handling everything alone
  • • You've had security concerns you don't know how to address
  • • Your compliance documentation is incomplete or out of date
  • • You can't get proper coverage for nights, weekends, or vacations
  • • Your cyber insurance carrier is asking for controls you don't have
Our internal IT guy is great, but he couldn't do everything. We brought Tech Advisors in for security and 24/7 monitoring and it completely changed things. He's happier, we're more secure, and when he took his first real vacation in three years, nothing broke.

Questions & Answers

Co-Managed IT: Common Questions

Fully managed means we handle everything: helpdesk, monitoring, projects, strategy. Co-managed means you have internal IT staff (one person or a small team) and we augment them. We provide the tools, monitoring, security stack, and specialized expertise that a single internal IT person can't cover on their own. It's common for firms with 50-150 employees where one internal IT person handles day-to-day but needs backup on nights, weekends, security, and strategic work.

No. Co-managed is explicitly designed to support your existing team, not replace them. We've seen firms worried about this. In practice, co-managed relationships usually make internal IT happier. They get to stop firefighting routine issues, focus on strategic work, and have real backup for nights and weekends. Internal IT stays the primary contact for users; we're the specialists behind them.

It depends on your internal team's skills and preferences. A typical split: internal IT handles user-facing support, office hardware, and primary software troubleshooting during business hours. We handle 24/7 monitoring, security stack management, after-hours coverage, vacation backup, compliance documentation, and specialized projects. We document the split in a Service Delivery Plan so everyone knows who does what.

This is the real question most leaders don't ask out loud. We handle it directly. When we onboard a co-managed engagement, we meet with the internal IT person first and explain we're here to support them, make their job better, and give them backup. We reference their preferences in how we respond to tickets. The best co-managed relationships feel like having a team of specialists the internal IT person can tag in when they need help.

We deploy our standard stack: ConnectWise Automate for monitoring, our ticketing system for issue tracking, and the security products. Your internal IT person gets full access to these tools and sees everything we see. They can pull up any ticket, any alert, any asset. Transparency is built in.

We typically onboard co-managed relationships before or after tax season, ideally April-June or September-November. During January-April, everyone in an accounting firm is stretched thin and it's the worst time to change anything. The exception: if your firm is in crisis during tax season (your IT person quit, a security incident, a system failure), we can do emergency onboarding in days.

Typically 40-60% of what a full managed engagement would cost, because your internal IT person handles the routine work and we fill in the gaps. Pricing depends on your firm size, what tools you need, and how much coverage you want. We build a custom quote during the free assessment, no cookie-cutter pricing.
